How to choose equipment fleet management software

Before comparing features, ask yourself a simple question: which problem do you want to solve first? Here are the criteria that really make a difference.

  • Your main need: manage the whole business (ERP), know where equipment is (location, inventory), or organise maintenance and inspections (CMMS, computerised maintenance management system).
  • The type of equipment: tools and consumables, vehicles, construction equipment, MEWPs, road-rail vehicles. A tool built for inventory does not have the same screens as a tool built for the workshop.
  • Regulatory checks: the tool must manage VGP inspections (periodic thorough inspections) and your other due dates with alerts. No software carries out the inspection in your place.
  • The field: do your mechanics have signal? Check that the app works offline, in real conditions, during the demo.
  • Fault reporting: an operator must be able to report an anomaly with a photo in under a minute, or they simply won’t.
  • What you already have: if you already use management or invoicing software, a tool that only works bundled inside an ERP will force you to switch.
  • Must-have adjacent features: invoicing, rental, parts stock, GPS. If you need them, rule out tools that don’t offer them, Trackary included.

Construction ERPs with a fleet module: Optim’BTP and B2O

According to its website, Optim’BTP is an ERP dedicated to construction, published by Optim-Factory (source). Its equipment fleet page describes a detailed record per item, project assignment, VGP and maintenance management with automated scheduling, cost tracking and usage summaries (source). The Optim’BTP Mobil app works offline; viewing equipment records and entering meter readings are part of the Premium plan (source). Note: the Optim’BTP Web page lists the “Equipment Fleet Management / Equipment / Scheduling” option as “Coming soon” (source).

According to its website, B2O publishes myB2O BTP, an ERP for construction, civil works and landscaping SMEs (source). Its fleet module tracks inspections, meters and costs, with alerts before due dates and a map of assigned equipment; the vendor states this module does not work standalone (source). For maintenance with work orders, it offers its CMMS (field app with photos, parts stock, IoT sensors) (source).

Both solutions suit you if you want one piece of software for sales management, invoicing, purchasing and equipment.

Location, assignment and inventory: Traxxeo and Hector

According to its website, Traxxeo is a construction platform covering time and activity management, site access and equipment resource tracking (source). For equipment, it offers an assignment plan, geolocation, GPS and IoT trackers (source), and telemetry (hour meters, odometers, error codes) also used to schedule maintenance and technical inspections (source).

According to its website, Hector is a cloud asset and inventory management tool used across several sectors including construction. It tracks equipment by barcode, QR code or RFID, manages loans, reservations and stock (source), and includes preventive maintenance with notifications (source). A free 15-day trial is offered (source).

These tools suit you if your priority is knowing where equipment is, who is using it, and avoiding losses and stock-outs.

General-purpose CMMS: Mobility Work and DimoMaint

According to its website, Mobility Work is a CMMS deployable in under 3 weeks, used across more than 450 plants in 36 countries according to the vendor (source). Its mobile app lets technicians complete jobs even in no-signal areas (source). Its construction page mentions tracking cranes, compressors and MEWPs, anomalies shared with photos and VGP inspection history (source). No amount is displayed on its pricing page (source).

According to its gmao.com website, DimoMaint offers the DimoMaint MX (equipment) and FM (buildings) CMMS products (source). Its mining, quarrying and public works page cites equipment maintenance (excavators, MEWPs, compactors…), project-based equipment assignment and offline working (source). MX pricing is displayed per user role (source), with a free 30-day trial (source).

These CMMS products suit structured, often industrial or multi-site maintenance departments that need work orders, maintenance plans and parts management.

Specialised VGP and equipment tools: Cloud VGP and Trackary

According to its website, Cloud VGP is software for tracking periodic thorough inspections (VGP) for tradespeople, construction, self-employed workers and equipment rental (source). It covers scheduling and alerts, a field app, VGP reports, reservations and the safety register (source), offline entry and e-invoicing (source). Its pricing grid is published (source). The vendor notes that the inspection itself is still carried out by a competent person or inspection body.

Trackary is a CMMS dedicated to fleets of construction equipment, MEWPs and road-rail vehicles (formerly Voirail). It manages the equipment record (category, fleet number, hour meters, maintenance logbook, documents), configurable inspections and due dates (VGP, safety equipment, equipotential bonding test and RFN approval for road-rail equipment), field anomalies with severity, component, findings and photos, technician job scheduling, and a mobile app that works offline, with job reports, checklist items and a signature. Which equipment fleet management software should I choose?

None of them suit everyone. The right choice depends on your main need: overall business management, location and inventory, or equipment maintenance and inspections. Run a demo with two or three tools using your own equipment before deciding.

Which CMMS software is most widely used?

There is no neutral public statistic to answer this. Vendors publish their own figures (for example DimoMaint states 2,500 customers, source, and Mobility Work more than 450 plants, source), but these are not measured the same way and are not comparable. It is better to compare fit against your own fleet.

Is there any free equipment fleet management software?

Some vendors offer a free tier with conditions, often limited in equipment count, users or turnover: read their terms. Several also offer free trials: Hector 15 days (source), DimoMaint 30 days (source), Traxxeo via form (source).

What is the difference between a construction ERP and a CMMS?

An ERP manages the whole business: quotes, invoices, purchasing, projects, and often an equipment module. A CMMS focuses on maintenance: equipment records, maintenance plans, jobs, history. If your problem is equipment maintenance, a CMMS is usually simpler to roll out.

Can software replace the body that carries out VGP inspections?

No. Software reminds you of due dates and keeps reports, but the periodic thorough inspection must be carried out by a competent person or an inspection body. The employer’s responsibility does not change.
