How much does a CMMS cost?

In brief

There's no single price. A CMMS is most often paid as a monthly subscription, calculated per user, per mobile seat or per piece of equipment tracked; some are sold as a licence, others on request. On top of the headline price there's often deployment, data migration and training. Always compare the total cost over several years, not just the monthly fee.

"How much does a CMMS cost?" is one of the first questions fleet managers and SME owners ask. Here's how vendors set their prices, the fees people often forget, and a method for comparing offers against your own fleet.

Few vendors publish their prices, and those who do often change them. The table below only shows each tool's pricing model and where to check it: always read the current grid on the vendor's site before deciding. Trackary is not affiliated with any of them.

The fees people forget to budget for

The monthly fee is only part of the cost. Before signing, ask the vendor to put a figure on each of these items, or confirm in writing that they're included.

  • Deployment: configuration, setting up equipment types, maintenance plans and inspections.
  • Data migration: importing your equipment list, your VGP dates and your history from Excel or paper.
  • Training: for the fleet manager, but also for the mechanics and drivers who will use the app.
  • Mobile seats: sometimes charged separately, even though they're what makes the tool work in the field.
  • Optional modules: stock, purchasing, dashboards, connectors to other software.
  • Support and updates: included or chargeable depending on the vendor.
  • Hardware: phones or tablets for technicians, if they don't already have them.
  • Internal time: a few days of your own team's work to prepare data and launch the tool.

How to work out the total cost of your CMMS

To compare two offers fairly, reduce them to the same calculation: the total cost over three years, for your actual fleet and your actual users. A cheap monthly offer with an expensive deployment can end up costing more than an all-inclusive one.

Also do it the other way round: estimate what it currently costs you to have no tool. Time spent looking for information, re-keying paper forms, a missed VGP inspection that takes a machine out of action, a breakdown that could have been avoided. These costs don't show up on any invoice, but they're real.

  1. Count your machines to track and the people who need to log in, separating office and field.
  2. Apply each vendor's grid to these numbers, including the mobile seats needed.
  3. Add the start-up fees: deployment, data migration, training.
  4. Multiply the subscription by 36 months and add the start-up fees.
  5. Check what happens as your fleet grows: does the price follow the number of machines, users, or both?
