In brief

The maintenance logbook keeps a machine's history: date, hour meter reading, work carried out, parts, person responsible and sign-off. For lifting appliances, a maintenance logbook is mandatory (order of 2 March 2004, arrêté du 2 mars 2004): each operation is recorded with its date, the person involved, the nature of the work and the references of any parts replaced. The free PDF template below prints on A4, one page per machine.

  • The date and hour meter reading at the time of the job
  • What was done: maintenance, repair, parts replacement, inspection
  • The type of job: preventive, corrective, regulatory inspection
  • Who carried it out, and their sign-off
  • In the header: fleet number, make, model, serial number, date of entry into service

Maintenance logbook for lifting appliances

For lifting appliances (aerial work platforms, forklifts, cranes, equipment fitted for lifting…), the order of 2 March 2004 (arrêté du 2 mars 2004) requires the head of the establishment to keep a maintenance logbook for each appliance, until it is scrapped. It records the maintenance operations recommended by the manufacturer and any inspection, repair, replacement or modification, with for each: the date, the people or companies involved, the nature of the operation, its frequency if it is periodic, and the references of any parts replaced.

The template provided contains these columns. VGP inspection reports are kept separately, with the safety register.

Keeping the logbook properly

  1. One page (or more) per machine, kept in the same place for the whole fleet.
  2. Record each job on the day it is done, with the hour meter reading.
  3. Attach or reference the job orders and parts invoices.
  4. Review it before a sale, a hire or a VGP inspection: it is the machine's history.

Frequently asked questions

Is the maintenance logbook mandatory?

For lifting appliances, a maintenance logbook is required by the order of 2 March 2004 (arrêté du 2 mars 2004). For other equipment, there isn't always an obligation, but it is the basis of good maintenance and of getting the right price on resale.

Paper or digital?

Both are possible. Digital avoids losses and lets the history be shared between the office and the field.

How long should the logbook be kept?

For the whole life of the machine in your fleet; it is a useful document to pass on if the machine is resold.

What is the difference with the safety register?

The safety register brings together inspection reports; the logbook records maintenance and repairs. The two complement each other.
